Printer Stops Working After Windows Update? Here Is Why

It happens on a Tuesday. Nobody changed anything, nobody installed anything, and the front desk cannot print a referral. Somewhere in the last day or two Windows updated itself overnight, and now a printer stops working after Windows update that nobody asked for and nobody watched run. The office restarts the printer, restarts the PC, and it comes back. Three weeks later it happens again.

Restarting the printer is not a fix. It is a coin flip that works often enough to keep the real problem invisible for another month.

Why Does a Printer Stop Working After Windows Update?

Because printing is not one thing. Getting a page out of a Windows PC involves a driver, a service, a network path, and a set of permissions, and a Windows update can disturb any of the four. When people say the update broke the printer, what usually happened is the update changed one of those layers and the printer was only ever working by luck.

This is the most common category of medical office printer problems we see, and it is worth understanding because the pattern repeats. Practices tend to treat each occurrence as a one-off annoyance. It is not. It is the same unresolved condition surfacing on Microsoft's schedule instead of yours.

The Four Things That Actually Break

The printer's IP address moved. This is the big one, and it is not really about the update at all. Most small offices hand out network addresses automatically (DHCP), so a printer that reboots after a power blip can come back on a different address than the one every PC was told to print to. The update gets blamed because the reboot and the update happened the same night. The fix is a reserved address on the router or firewall: set once, permanent, and the printer stops wandering.
The driver got replaced or reset. Windows will happily swap a manufacturer's driver for its own generic one during a feature update. Basic printing usually survives. Trays, stapling, duplex, secure release, and the scanner half of a multifunction often do not. Microsoft also tightened who is allowed to install a printer driver after the 2021 PrintNightmare spooler vulnerabilities, so on a machine where staff are not administrators, the driver cannot silently reinstall itself. It just stays broken until someone with admin rights fixes it, which in most small offices means it stays broken.
The print spooler keeps stopping. The spooler is the Windows service that queues print jobs, and one corrupt job or one bad driver will take it down. When it stops, nothing prints from that PC and no error explains why. Staff learn to reboot, which restarts the service but never clears the cause, so nobody finds out which job or which driver did it and it happens again. The actual fix takes minutes: clear the stuck queue, identify the driver that choked, and replace it. It just requires someone to look.
The connection was never solid to begin with. Windows offers a discovery-based way to add a printer (WSD, the option where Windows just finds it on the network), and it is convenient right up until it is not. Discovery depends on broadcast traffic that a busy office network drops, and it renegotiates the connection constantly. A printer added by its direct address, pointed at a reserved IP, is dramatically more stable, and it survives updates.

Scanner Not Working After Windows Update Is a Different Problem

Printing and scanning share a box but not much else, and a scanner not working after Windows update breaks for reasons that have nothing to do with the printer half. If your scan to folder stopped working while printing still runs fine, the update almost certainly did not touch the printer at all.

Most office multifunctions scan by dropping files into a shared folder on a PC, and many were set up years ago on SMBv1, an old file sharing protocol that Microsoft has been switching off by default because it is genuinely unsafe. When an update finally disables it, the copier keeps saying the job sent and the folder stays empty. Scan to email breaks for a related reason: Microsoft and Google have both retired the simple username and password sign-in (basic authentication) that older copiers use, so the copier's saved credentials silently stop working.

Desktop scanners fail differently again. The software that lets a program talk to a scanner (TWAIN drivers, mostly) is old, frequently still 32-bit, and vendors abandon it long before offices retire the hardware. A Windows feature update is often what finally exposes that the driver has been unsupported for years. That is not a repair, it is a replacement decision, and it is better made deliberately than during a full waiting room.

What a Real Fix Looks Like

The difference between a practice that has this problem monthly and one that does not is boring, and it is all preventive. Reserve a fixed address for every printer and copier. Connect PCs to that address directly instead of by discovery. Install the manufacturer's full driver rather than whatever Windows picks. Write down which machine prints to what, and where the scan folder lives.

Then handle updates like they matter, because they do. Updates should install on a schedule you chose, outside patient hours, on machines that are actually powered on when the window opens, with someone confirming a test print and a test scan the next morning. Patching is not optional and skipping it creates a much worse problem than a stuck print queue. But an update that installs unwatched at noon on a Tuesday is how a practice finds out about it from the front desk instead of from its IT provider. >Workstations at least get patched on some kind of schedule. The tablets in your exam rooms usually do not, and in most practices nobody has counted them.

None of this is difficult. It is just nobody's job in most small offices, which is the same reason small interruptions quietly cost a practice more than anyone measures.

What Should a Small Practice Do Now?

Ask your staff one question: how often does something have to be restarted before it works? If the honest answer is weekly, you do not have a printer problem. You have an environment where nothing is documented and nothing is monitored, and the printer is just the part loud enough to complain about.

Recurring device failures are also one of the clearer signs a practice has outgrown how its IT is being handled. A setup that worked at four staff and one printer does not survive fifteen staff, three copiers, tablets in every room, and monthly updates from Microsoft.
